Introduction
The current challenging and competitive IT environment demands a great deal of focus on every details of business in order to increase productivity. We are all aware that the fate of today’s business relies on the productivity.
The success factor relies on various key components and all of them get focused to the return on investment. While the environment in the work place and the benefits provided makes a difference in the employee’s working style, the effort contributed by the employee makes a greater change and results in quick turnaround. So it is prevalent now that just following the theoretical concepts of productivity in the business does not help but it also requires paying special attention to detailing the roles and responsibilities to extract the best from them.
In the work environment, the traditional way of roles and responsibilities vary for organizations based on the project requirements and delivery. The role of an employee is not only important but also is critical factor for the success of the project.
The role played might look like any other role played in a development environment. At the same time the responsibilities handled by the employee for the role could be the same or different varying from a core activity or any support activity based on the project needs. Obviously there is a chance of mismatch or misunderstanding or miscommunication between the roles and responsibilities assigned to and employee.
So, apart from the estimation and identification of resources, the importance of assigning the right roles with appropriate responsibilities is inevitable for productivity and success of a project. This directly leads them in the path of success. Setting of these attributes help the employees balance their work behavior, schedule and progress better and faster. This suits all the employees in an organization regardless of the grade or skill.
Why responsibilities need to be defined?
I ask you now to imagine a playground filled with kids happy and playing. I hope your picture in mind now has a few kids playing on the open playground and some kids swinging in the swing with a smile as the wind blows in their hair while a couple of other kids waiting for their turn. You may also picture of other kids playing on the seesaw.
What if I tell you that the playground is surrounded by fence? Does is change the coordinates of the playground or the happiness index in the kids? I don’t think so. You’ll also agree with me that the kids are safe within the fence especially when the playground is close to a main road with traffic and also the kids can come out of the fence when they are done playing since it is not concealed.
The responsibilities defined for the role are like the fence of the playground. The responsibilities are reasonable and quantifiable like the length and breadth of it. Your priorities are like the kids choosing to play swing or seesaw.
The RxR window illustrated in the figure below depicts the state of the organization with regard to assigning roles and responsibilities. I have slated a four quadrant structure to determine the importance of assigning role and responsibility. Paramount stays safe and it is the best since, both the roles and the respective responsibilities for the employees are clearly defined. Confusion prevails in Anarchy since no one is clear of what has to be done resulting in chaos. Non-shouldering of responsibility could be visibly seen in Irresponsible since proper responsibilities are not defined. The state of Mortal is fatal because there exists no proper role or responsibility for the employees.
In the process of creating a better work environment, assigning the right role with appropriate responsibilities is one among the few important attributes involved. From my experience of looking into different aspects of productivity, this important attribute of identifying right roles and assigninig appropriate responsibilities contribute more towards reduction of problems and increase in productivity.
